Automating business processes with AI

We automate the work your team repeats every day: sorting requests, processing intake, following up customers and compiling reports. Your people get time back for what really needs their attention.

Example of an automation

Example of an automated intake. The quote only goes out after your approval.

Where does your team lose the most time?

Sorting emails and requests

Example: 38 unread emails

Going through the same inbox every morning: which is a quote request, which a complaint, what can wait.

Retyping data between systems

Example: copy and paste, three times

A request from the inbox into the calendar, then into the quote document, then into the accounts.

Following up customers and quotes

Example: a quote 12 days old

A quote that went out, but nobody calls back about. The reminder depends on who remembers.

Compiling reports

Example: 3 files per report

Pulling figures from three files for the monthly overview, by hand, every time.

What we automate

One recurring workflow at a time, once the process is clear. Steps that need judgement stay with your people.

Intake and requests

Requests from email, forms or phone notes are captured, sorted and prepared with the right details. Requests through your AI assistant connect to this too.

Follow-up and reminders

A follow-up email after a quote, a reminder for a service visit, a nudge when something sits too long.

Documents and reporting

Quotes from a template, reports and overviews that fill themselves with data that already exists.

Connections between your tools

Your mailbox, calendar, CRM, accounting package and scheduling software exchange data, so nobody has to retype it.

Today

  1. Request by email

  2. Retyped into the calendar

  3. Quote in a document

  4. Reminder forgotten

After automation

  1. Request captured

  2. Details in your CRM

  3. Quote from a template

  4. You decide on the quote

  5. Follow-up email after three days

Example. The step with the gold border stays with a person.

System model

How an automation is built

  1. Your tools

The software you already use today.

  2. Automation

Fixed rules and connections that move the work.

  3. AI

Only where language or judgement is needed.

  4. People

Decide, check and take over where it matters.

Example · Your tools

A quote request arrives in your mailbox, as it does every day.

From process to automation in four steps

  1. Map the processes

We follow how the work really runs today: who does what, with which tools, how often and how long.

  2. Prioritise by time saved and risk

What saves the most time, and what is safe to automate? We start with one workflow that makes a difference.

  3. Build and test

We build the automation and test it with your team on real examples.

  4. Hand over and measure

You receive the working automation and its documentation. We measure the result against the situation before we started.

What you receive

An automation project usually takes two to six weeks. You receive:

  • A process map
  • A prioritised list
  • Working automations
  • Hand-over documentation
  • A measurement against the baseline

What we do not do

  • Implement an ERP or CRM
  • Provide IT support
  • Automate a process that is not yet clear

In that case, we map it first.

What automation delivers, and what it does not

What automation does deliver

  • Time back for work that needs attention
  • Fewer errors from retyping
  • Faster responses to requests
  • A process that runs the same way every time

What automation does not do

  • Make decisions that need judgement
  • Take over sensitive customer contact
  • Fix an unclear process by itself
  • Take people out of the loop: for the steps that matter, a person stays involved

Frequently asked questions about business automation

Which processes qualify?

Processes that recur often, follow the same steps every time and now take a lot of manual work: sorting requests, retyping data, following up quotes and customers, compiling reports. If a process is not yet clear, we map it first. Unsure where to start? An AI audit helps you choose.

Do I need to buy new software?

Usually not. We prefer to connect the tools you already use, such as your mailbox, calendar, CRM or accounting package. If something new is needed after all, it is in the proposal with its cost, before you decide anything. We do not sell third-party software licences ourselves. More on how we work.

What happens to my data?

An automation only uses the data the workflow needs, and processes it on your behalf. We set out those arrangements in a data processing agreement. Which data ends up where is described in the hand-over documentation you receive at delivery. More in our questions on data and privacy.

How do you measure the time saved?

Before we build, we measure together how long the process takes today: how many requests, how many minutes each. After delivery we measure again, the same way. That shows you the real difference, rather than a promise made in advance. See the example calculation for what that looks like.

What if an automation makes a mistake?

We test every automation with your team first, on real examples. Exceptions that do not fit the rules go to a person instead of through the system. If something goes wrong later, you see it in the follow-up and we adjust the automation. That way a person stays in control.

What does an automation cost?

Every project gets a fixed price in the written proposal after the introduction. The price depends on the number of processes and connections. A project usually takes two to six weeks. So you know in advance what you pay and what you get. Bring one process to an introduction.
